If you have created an account on the booking system you can opt in to receive email notifications and reminders of appointments.  You can change your preferences for these notifications and view and/or edit the information in your profile at any time, see here for details.

Core is committed to protecting and respecting your privacy. This policy together with the terms and conditions of use (and any other documents we refer to in this policy or the terms and conditions) set out how we will use your personal information and who it will be shared with. We have given a simple overview followed by more detailed points, please read them all carefully.

 

Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by e-mail.

OVERVIEW

We want you to be aware that when you attend for a class or therapy appointment we will ask you to fill in a short questionnaire on paper to ensure we are fully aware of any health conditions etc so that we can plan and conduct a safe and effective class or treatment for you.  The paper copy of the form is the only copy of your data we hold, we do not transfer this information to any digital storage but keep this hard copy in a fire-proof, locked storage cabinet. 

We will hold your data while you remain a client at Core and for 7 years after you stop attending classes/personal training/therapy appointments here (as required by our insurance company).  You can request to see your form and treatment records and/or request them to be confidentially destroyed at any time by emailing info@coredunbar.co.uk or speaking to your instructor/therapist. You can also ask for your data to be transferred to another fitness professional/therapist of your choice at any time. You can also, and are indeed encouraged to, ask for your data to be updated to reflect any recent changes.  We will ensure any requests are dealt within a month as required by the General Data Protection Regulation legislation (2018).

Your information will only be made available to your instructor/therapist (or any instructor/therapist who is covering in the event of your usual instructor/therapist being unavailable) and the information will be used to ensure that an appropriate and safe session is provided for you.  In the event of an emergency regarding your health/safety during the time you are at Core, the emergency contact details you provided will be used to contact that person to make them aware of the emergency situation.  The details will also be used in that event to pass on to any medical professionals (e.g. paramedics) if required. The email address you provide will be used to contact you only about information directly pertaining to your class/personal training/appointment (e.g. reminders for appointments or new block information for classes) and will not be used to distribute any promotional information or newsletters etc.  The phone number you provide will only be used to contact you in the unlikely event of last minute cancellations.  There is no expectation that your address will be used in any circumstances other than an emergency.  None of your data will be passed to a third-party in any circumstances other than medical professionals in an emergency.

 

  1. What information do we collect about you? We may collect and process the following data about you (“your information”):

    1. information that you submit online via our site when you register and / or login.

    2. any correspondence you send to us or when you email us.

    3. health screening information that you fill in on the paper form when you attend for a class or therapy appointment

    4. details of your visits to our site and treatment records

    5. details of classes or appointments purchased on the site or on our client management software, MindbodyOnline Inc.

    6. reservations you make for classes or appointments; and

    7. billing information stored with our client management software, MindbodyOnline Inc.

  2. How will we use your information? We use your information in the following ways:

    1. to ensure that we provide a safe and effective class/appointment for you.

    2. to notify you about changes to our services.

    3. to provide you with information directly relating to services that you use at Core including notifying you of new block information or sending you appointment reminders.

    4. to carry out our obligations arising from any contracts with you (including processing your payment for classes and to reserve your place on classes when you have made a booking); and
to enable you to participate in interactive features of our site, when you choose to do so.

    5. we only keep your information for as long as is necessary.

  3. Cookies

We may use “cookies” to collect the information referred to and track your use of our site. Cookies are small data files which gather information about your use of our site and help us to provide you with a good experience when you browse our site.

 

4.  Marketing.

We do not contact you, or use or share your data, for marketing purposes.

5.  Where do we transfer your information to?

  1. With the exception of our US based client management software, MindbodyOnline, we will not transfer your information to anyone else, or store it, outside the European Economic Area (“EEA”).

  2. We will, if we have to, share your information to comply with legal or regulatory requirements, or if we have to enforce or apply our terms and conditions of use or any other agreements or to protect our rights, property or our customers etc. This may involve exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

  3. Except as set out in this privacy policy, we will not disclose your personal information to any other third parties.

  4. All your information is stored on secure servers. Any paper copies of health screening forms and treatment records are stored in a secure, locked, fire-proof cabinet. Any payment transactions will be encrypted. If you have a username, password or other login details which enable you to access certain parts of our site, you must not allow any other person to use them and must treat them as confidential. If you believe or suspect that someone else knows your login details you must contact us at info@coredunbar.co.uk as soon as possible. Please also see our terms and conditions of use.

  5. Unfortunately, the transmission of information via the internet is not completely secure. Although we will apply our normal procedures and comply with legal requirements to protect your information, we cannot guarantee the security of your information transmitted to our site and any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

  6. Our site may from time to time contain links to and from other websites. If you follow a link to any of those sites, please note that those sites ought to have their own privacy policies and that we do not accept any responsibility or liability for those sites or for their privacy policies. Please check those privacy policies before you submit your information to those sites.

Our website provider (Wix.com) and our online booking system provider (mindbodyonline.com) both participate in, and have certified compliance with, the EU-U.S. Privacy Shield Framework and the Swiss-U.S. Privacy Shield Framework.   3. If you have created an account on the online booking system, you can opt out/in to receive email notifications and reminders for appointments booked through our online booking system. You can change your preferences at any time, please see here for more info on how to do this.

  4. You can also log in to the online booking system to view, amend and/or delete any information contained within your profile.

  5. If you have a complaint about how we have used your information, you have the right to complain to the information commissioner’s office.
